Kawapartner – a multi-channel coffee and tea distributor
A custom ERP that connects marketplaces, online shops, carriers and accounting into one automated sales process.
All screenshots use anonymized data – no real customer information is shown.
01
Sales were growing in several channels at once, and each of them had its own panel, its own statuses and its own shipping rules. The team spent hours copying data between systems.
02
We designed and built an ERP from scratch that became the centre of all sales: it imports orders, guides them through the warehouse, books the courier, issues documents and sends statuses back to the sales channels.
Sales channels, carriers, accounting and the warehouse exchange data automatically – the team works in one panel.
ERP Kawapartner
Orders from every channel land in one list, with customer data, payment and delivery method.
Automatic actions set statuses, flag exceptions and prepare the order for fulfilment.
Orders are grouped into baskets and distributed across packing stations.
The packer scans products – the system checks them and prints the label and the receipt or invoice right away.
The tracking number and status go back to Allegro, the store or the marketplace automatically.
Sales documents are created in Subiekt GT and attached to Allegro orders automatically.
The packing station is where a mistake costs the most – so the system guides the packer through every stage. The scanner and the screen tell them what to do next, and the rest happens automatically.
Step 1 of 5
The packer opens the basket assigned to their station and the system hands out the next order – urgent ones first, then the oldest – and reserves it, so two stations never pack the same parcel.
Step 2 of 5
Every product goes into the box through the scanner. The system recognises it by EAN or SKU, ticks it off and shows straight away what is still missing.
Step 3 of 5
For several pieces of the same product the packer confirms the quantity in one entry – with the product photo in front of them, without scanning every piece.
Step 4 of 5
Once the last product is in the box, the system issues the sales document and asks for the parcel size. Scanning the size barcode is enough to book the shipment with the carrier.
Step 5 of 5
The label and the document print on the station’s printers. Scanning the label closes the order, updates its status and opens the next one right away.
One order list for all channels, status groups, filters, address editing and a full change history for every order.
Configurable actions triggered on import, packing or status change – no developer needed.
Picking baskets, packing stations with barcode scanners and splitting product sets into items.
ZPL labels from eight carrier APIs, pickup points, shipment tracking and additional parcels.
Receipts and invoices from Subiekt GT, domestic invoices via KSeF, cross-border sales (intra-EU supply, OSS) with VAT number checks in VIES.
A product catalogue from Subiekt GT and BaseLinker, plus listing Allegro offers on Erli, Temu and InPost Fresh with category mapping.
An integration error panel, unrecognised scans, packing station statistics and team alerts.
Permissions per role and module, an activity log and a token-secured API.

Every shipment with its tracking number and carrier status.
Receipts and invoices from Subiekt GT, ready to be attached to Allegro orders.
Allegro offers showing whether a product is already listed on Erli and InPost Fresh.
All sales – whatever the channel – handled in one place.
The label, the sales document and the channel status are created without retyping data.
Product scanning and data validation catch errors before a parcel leaves the warehouse.
A new sales channel or carrier is just another integration, not a new process.
Launch is just the beginning for us. Since 2024 we have kept extending the system with new channels, carriers and features, while providing ongoing support and monitoring the integrations.
Some integrations – including Allegro, Temu, InPost and Poczta Polska (e-Nadawca) – run on our own API libraries, developed alongside the system.
